    How to add your preferences for sub requests

    SwingSubs will now have the ability to select what requests they prefer on the platform. By setting up your preferences, you will get notified earlier of any new sub-requests from your:

    • Favorite Schools
    • Preferred School Type 
    • Preferred Commute Time
    • Preferred Request Length (Single Day or Multiday)
    • Or whether you prefer requests that require a substitute teaching credential

    How to Access Your Preferences on Your Swing Account

    1. Click on your profile and click account settings in the sub menu:

    2. Then select "Preferences" in the Account Settings on the left side of the screen:

    From here, you should see an overview of preferences options including the schools who have favorited and options for the types of requests you can select to get notified earlier for:

    Overview of How to Favorite Schools in Your Preferences: 

    Getting requests from your favorite schools is fast with 3 simple steps:

    • Click on the "Add favorites" search under the Favorite Schools
    • And search for the school you wish to favorite 
    • Add your favorite school to your Swing account 

    How To Search and Favorite Schools (Step-by-Step)

    Search for Schools 

    You can search for the school and favorite it by clicking on the heart button next to the school. The heart should go from white to pink to indicate you favorited the school.

    When searching, three of the most recent schools that you worked for will show up in the suggestions drop-down when you search.

    You will also see how many times you worked at this particular school highlighted above each school name. This can help you remember the schools you most recently and frequently worked for in case you can't remember the school's name.

    Three of your favorite schools will show on your dashboard at all times. You can expand to see all the other schools you have favorited by clicking on the blue link labeled "Manage All Favorites."

    How Do I Unfavorite a School?

    To unfavorite a school from your favorites, just click on the heart button. It will turn from pink to white to indicate that the school is no longer a favorite.

    Find the Request You Want by Adding Your Preferences:

    You can now select requests you wish to receive priority notifications for by choosing your preferences in the "Request Preferences" section.

    You can update your preferences to include:

    1. School Types: Elementary, Middle, and High School
    2. Max drive time (Only available if you put your full address in the location settings) 
    3. Request Length: Single-Day or Multi-Day
    4. And Permit Requirement: (Credentialed Required or Not)

    Note: This will not impact your filters when browsing requests in the "Open Requests" tab. You will instead get notified of your preferred types of requests earlier either via text or your Swing app notifications.

    How to Adjust Your Preferences

    1) Select Your Preferences by Check-marking the Requests You Would Prefer

    2) Once You're Done, Click "Save" to Save your Request Preferences:

    You can also press the "Undo" button to undo any new changes you made to your preferences.

    Once that's done you should see now get earlier notifications for the requests that reflect your preferences. Please note you will still receive notifications for other requests that aren't listed in your preferences.

    How Can I Add My Availability For Sub Requests?

    You can now add your availability to your Swing Profile! 

    How Does It Work?

    You get priority notifications for the days you want to work by setting your availability in Swing. Simply mark yourself as available on specific days in your Swing Account Settings and we’ll notify you earlier about new requests for those days. You can also see the dates you’re already committed to working with Swing and update your availability at any time. 

     

    How Do I Add My Available Days?

    1. Login into your Swing and Click on "Account Settings"

    2. Select "My Availability"

    It will be indicated by a calendar symbol.

    3. Browse the Calendar for the Days You're Available

    You'll be able to mark your available days all the way up to one full calendar year.

    4. Days You're Committed To Will Be Highlighted in Yellow

    If you're already committed to a request, you will see that the days on the calendar will be highlighted in Yellow. This is so that you know which days you are unavailable.

    5. How To Add Days To Your Availability. 

    To add days to your availability, click on the days that are NOT highlighted in Yellow. They will be highlighted in Blue to show the days you are available to receive requests.

    6. Click "Save" to Save Your New Availability

    Clicking "Save" will save all the days you have highlighted in your Availability Calendar.

    How Do I Undo the Days I've Selected?

    You can either reselect the days before you save or press the "Undo" button. Pressing the "Undo" button will revert your availability to the last Availability Calendar you saved to your Swing Account.

    Find the Request You Want by Filtering Requests

    You can now filter requests in the "Open Requests" tab by using one of the three main filters available:

    1. Max drive time (Only available if you put your full address in the location settings) 
    2. Request Length: Single Day or Multi-Day
    3. And School Types: Elementary, Middle, High School

    More filters will be coming soon in a future update. 

    How to Filter Requests Overview:

    You can now favorite schools you previously worked with on the Swing Platform. When you favorite a school, you will be notified earlier of any new sub-requests that the school posts.

    Note: At this time, this feature is NOT available on the app.

  • Commute Times for Subs
    Commute Times for Subs

    Swing Education understands one of the key factors for subs deciding which jobs to take is the distance and travel time to get there. With rising gas prices, this is more important than ever. So we now offer a new "Commute Times" feature to help you estimate how long it will take you to drive to a school's request! 

     

    How Does It Work?        

    By entering your home address in your account settings, subs will now get a commute time estimate for every request they see to help make commute decisions easier.

    Because we've linked these estimates to Google, each estimate will be based on both distance and traffic info.

     

    How Do I Set Up Commute Times On My Swing Account? (Desktop and Mobile Web Only)

    There are two ways to activate commute times on your Swing account.

    Method 1. Set up commute times via your profile settings

    • Go to your profile settings
    • Click on Location Settings
    • And add your full address where it says address

    Method 2. Add the feature from your Open Requests 

    Clicking on the "Open Request" tab on the Swing Platform should show a big prompt asking if you'd like to get commute time estimates.

    • Then update your full address on your profile (as shown in method 1)

    After that, you should start to see commute estimates for all future assignments!

    Where can I use this new feature?

    This feature is currently available for desktop and mobile web, with an app release coming very soon.

    Can I filter my settings to have a max desired commute time?

    As of now, no. However, we're working on adding this feature in soon. Our goal is for subs to filter out requests that are too far of a commute and focus on requests that they're most likely to accept.

    How to Refer a Friend to Swing Education

    Referring a friend to Swing Education is easy! Just share the personalized link in your Swing account via email, text, Facebook or other social media account. When your friends click the link, they will be taken to Swing's registration page to start the application process. After your friend teaches their first assignment, you'll each receive a $100 Visa gift card.

     

     

     

    FAQs

    How do I refer a friend?

    In your Swing account, use the drop down under your name and tap Refer a Friend to access your dashboard. Copy your personalized link using the "Copy" button and share the link via email, text or social media.

     

    What do I have to do to qualify?

    As long as you are currently subbing with Swing and your account is in good standing - meaning you're not suspended or terminated - you qualify for the referral program.


    What do my friends have to do to qualify?

    • Have a bachelor's degree
    • Meet the requirements in the state in which they are applying
    • Successfully onboard and complete at least one assignment

     

    When do I get my referral bonus?

    Approximately 2 weeks after your friend completes their first assignment.


    What is my reward?

    You and your friend will receive a $100 Visa gift card. Gift cards are not redeemable for cash.


    How many friends can I refer?

    As many as you like. There is no limit as long as your account is in good standing. 


    Can I get a reward for a friend I already referred? 

    No. Your friend has to apply using your personalized link.


    I emailed Swing Support the name of my friend. Why didn't I get a reward?

    Friends who apply outside the referral process (without using your personalized link) are ineligible for a referral bonus. 

     

    Why do I have to use the link to qualify for a referral bonus?

    The referral process is fully automated. When you use your personalized link, the referral system will connect you and your friend and will track the status of your friend's onboarding process. When your friend teaches their first day, the system will automatically send out a reward to each of you.

     

    Please note: Swing Support cannot override the referral system. Your friends must use your personalized link to qualify for the referral program.

    Frequently Asked Questions about COVID-19A For Substitute Teachers

    • What should I do if I feel sick?

      • If you have worked in schools in the past 2 weeks and have tested positive for COVID-19, contact us with details as soon as possible.
      • If you are experiencing fever, vomiting, diarrhea, or other symptoms of a communicable illness, whether or not you believe it’s related to COVID-19, cancel any upcoming requests on the Swing platform immediately.
      • If the request is same-day, please contact the school directly as well as our support team.
    • Does Swing Education offer remote teaching opportunities? 

      • Schools now have the option to select remote learning when requesting a sub.  Most of these assignments will require you to have a working computer or tablet and a reliable internet connection.
      • If a school in your region requests a remote sub, the request will state "REMOTE/ONLINE" in the address field. The school will provide online tool information, such as login credentials for Zoom or Google Classroom, in the notes field.  
      • If you accept a remote request and do not get the information you need to teach the class remotely, contact the school as soon as the assignment is confirmed.
    • I’ve been traveling recently. Do I need to do anything differently? 

      • If you have traveled to a Level 3 Travel Health Notice country, please stay home for a period of 2 weeks from the time you returned home. 
      • If any symptoms arise within that 14-day period, including fever, cough, or shortness of breath, call your medical provider immediately. Do not take any teaching assignments until a prognosis is determined.
      • If you have traveled to areas domestically or internationally without a known COVID-19 outbreak and you do not have any symptoms of illness, you may continue working as usual.
    • Will I be penalized for canceling a request due to sickness?

      • Please be as specific as possible with why when canceling. Please do not go to the school sick because you are worried about a cancellation penalty. 
    • I’m in a high-risk group and don’t feel comfortable teaching at this time due to the increased health risks from COVID-19. What should I do?

      • If you have upcoming requests that you don’t feel comfortable completing, go ahead and cancel. 
      • However, if you are scheduled for a request that begins within 24 hours or has already started a long-term request, please contact us as soon as possible.
    • Will I still be paid for the day if I have to leave early from a request due to sickness?

      • Unless you're a W-2 sub employed by Swing (California only) you will only be paid for the time you worked. 
      • W-2 subs may qualify for Supplemental Paid Sick Leave (or SPSL) until September 30, 2022 for any COVID-related absence. Please contact us to see if you qualify. 
      • W-2 subs may also qualify for COVID exclusion pay for any COVID-related absence. Please contact us to see if you qualify. 
    • What if the school I'm at sends me home early due to COVID-19 concerns on their campus?

      • If a school closes early, you will be paid for the hours you worked. There are no additional actions you need to take.
    • What can I expect if a school I have subbed at recently has a known case of COVID-19?

      • If you have an upcoming assignment at a school that will be closed due to COVID-19, you will receive a cancellation via text message or push notification. You will not be paid for assignments that are canceled in advance of the start date.

    Swing Education COVID-19 Policy and Agreement for SwingSubs

    updated as of January 14, 2022 

    Thank you for your interest in working as a SwingSub with Swing Education, Inc. (“Swing Education” or “Swing” or “we”). The terms in this agreement (“Agreement”) apply to you whether you are an independent contractor or employee of Swing Education or any Swing Education affiliates, successors, subsidiaries, assigns or parent companies. If you are a employee of Swing Education or any affiliates, successors, subsidiaries, assigns or parent companies of Swing Education, the terms of your employee Code of Conduct and Handbook also apply, though these specific COVID-19 terms are the most up to date and will control in event of conflict. If you are an independent contractor, the terms of your Code of Conduct also apply, though these specific COVID-19 terms are the most up to date and will control in the event of conflict. 

     

    The COVID-19 pandemic, also known as the coronavirus pandemic, is an ongoing global pandemic of coronavirus disease 2019 (“COVID-19”), caused by severe acute respiratory syndrome coronavirus 2 (“SARS-CoV-2”). COVID-19 is an infectious disease that is extremely contagious. COVID-19 can be spread through the air when an infectious person talks or vocalizes, sneezes, coughs, or exhales. Although less common, COVID-19 may also be transmitted when a person touches a contaminated object and then touches their eyes, nose, or mouth. Investigation and knowledge of COVID-19 and associated illnesses is ongoing. Federal, state, and local governments and health agencies have made and continue to make evolving recommendations and regulations to address COVID-19.

     

    School Partners (schools, school districts, or similar institutions that Swing Education partners with and that post Assignments on the Swing Education online platform) are required to provide a clean and safe environment in accordance with relevant federal, state, and local governments and health agency guidance. You must inform Swing Education at www.swingeducation.com/support attn: School Safety Issue, immediately if you believe a School Partner is not adhering to this requirement. We greatly appreciate such reports, which can be made without fear of retaliation. Backing out of an Assignment shortly before or even upon arriving is of course a major inconvenience, however it is your right to do so if you reasonably believe your safety is at issue, and you can do so without fear of retaliation. As with all Assignments, SwingSubs are expected to conduct themselves with the utmost professionalism.

     

    Beyond the reasonable precautions that Swing Education will take, you are to use your own judgment and assume any safety risk, with respect to both accepting and performing an Assignment, including COVID-19 risks. Swing Education provides Workers’ Compensation insurance or occupational accident insurance for SwingSubs, and complies with all applicable local, state and federal COVID-19 benefits requirements.

     

    You must adhere to relevant federal, state, and local government and health agency mask requirements at all times during an assignment, including but not limited to requirements regarding where and when masks must be worn, what type of masks must be worn, and how they must be worn. Failure to do so is grounds for immediate removal from an Assignment and from the Swing Education platform. If a medical condition, mental health condition, or disability prevents you from wearing a mask or otherwise adhering to relevant mask requirements, or if you are hearing impaired, or communicating with a person who is hearing impaired, where the ability to see the mouth is essential for communication, please contact us at hr@swingeducation.com so that we can discuss reasonable accommodations. 

     

    We evaluate the need for PPE as required by CCR Title 8, section 3380, and provide such PPE as is required. You agree to maintain good hygiene, including but not limited to frequent and thorough hand washing in accordance with the below training video, coughing into a tissue, and regular use of hand sanitizer, etc. You agree to watch this training video from the WHO in full before signing off on this Agreement:

    By signing below, you certify that you will adhere to all relevant federal, state, and local government and health agency COVID-19 guidelines, including but not limited to mask-related guidelines and isolation/quarantine and social distancing guidelines, while working for Swing Education. 

     

    You agree to familiarize yourself with the rules and protocols of each School Partner at which you accept an Assignment, and to adhere to those rules and protocols (collectively referred to as “Policy”) to the extent they meet or exceed those set forth herein. If a School Partner’s Policy does not meet or exceed the requirements set forth herein or otherwise does not adhere to federal, state, and local governments and health agency requirements, you must report this to Swing at http://www.swingeducation.com/support attn: School Safety Issue, with as much detail pertaining to conditions at the School Partner campus(es) as soon as possible in order for Swing to follow-up with the School Partner and conduct an investigation as needed. You need not stay at an Assignment at a School Partner campus that is not adhering to relevant federal, state, and local governments and health agency requirements, and Swing Education will not penalize you for leaving such an Assignment so long as you inform Swing Education as soon as possible at www.swingeducation.com/support attn: School Safety Issue.

     

    Daily COVID-19 Symptom Screening

    You must undergo your own daily symptom screening today, on the day you sign up for an Assignment, and the morning of every day in which you engage in an Assignment. If you answer YES to any of the below questions 1-3, you must adhere to relevant federal, state, and local government and health agency isolation, testing, and/or quarantine requirements; You must also notify Swing Education immediately at www.swingeducation.com/support attn: COVID Screening. This notification must include, as is applicable: the date of exposure, the date on which symptoms began, and/or the date of diagnosis. Failure to go through this questionnaire every day in which you engage in an Assignment, to answer it honestly, and adhere to relevant local, state, and federal government and health agency isolation, testing, and quarantine requirements after answering the questionnaire can result in serious risk to School Partner staff and students, therefore Swing Education reserves the right to take serious disciplinary action against you for failure to do so, including immediate removal from the Swing Education platform and possible legal action. For convenience, we have reproduced this list on the last page of this Agreement so you can keep it handy (e.g., print it out and have it readily available). SwingSubs will not be penalized for proactively canceling an Assignment due to this screening.

    As always, if you are symptomatic, exposed, or test positive for COVID-19, contact your healthcare provider regarding available treatments and any questions concerning your care.

     

    SwingSubs must adhere to any School Partner request to leave an Assignment because the SwingSub is displaying COVID-19 symptoms or tests positive for COVID-19. In such an event, SwingSubs must also notify Swing as soon as possible at www.swingeducation.com/support attn: COVID Screening. Failure to do so can result in immediate removal from the Swing Education platform. 

     

    SwingEducation requires School Partners to inform Swing of any confirmed COVID-19 cases on their site, as well as the safety measures taken in response to a confirmed case. Swing reserves the right to suspend that School Partner's access or restrict their request(s) to remote-only should those safety measures be deemed inadequate. Any such School Partner's access will be reinstated or in-person learning permitted, as the case may be, only when such safety measures are deemed adequate. Swing will inform SwingSubs of any such confirmed COVID-19 case reports and subsequent safety measures taken as soon as practicable. 

     

    Swing Education may change this Agreement based on ongoing developments, including applicable laws and government guidance, and will provide you reasonable notice of material changes.

     

    By signing below, you certify that you have read and understand this Agreement, will adhere to the requirements herein, and have watched the training video in full. Failure to adhere to this Agreement and any updates thereto is grounds for being sent home from an Assignment early, as well as immediate removal from the Swing Education platform.

    All about the COVID-19 Vaccination Attestation

    What is the COVID-19 Vaccination Attestation?

    Our COVID-19 Vaccination Attestation is required of all SwingSubs in states with vaccine mandates, as well as in states where most or all of our school partners have vaccine mandates. As of this writing, these states are CA, IL, NY, & DC, but this may change based on relevant regulatory and school partner policy changes. Our COVID-19 Vaccination Attestation allows SwingSubs to provide Swing with proof of vaccination OR request a reasonable accommodation for an exemption from our COVID-19 vaccination policy for a medical reason or a sincerely held religious belief.

    Guide To Completing the COVID-19 Vaccination Attestation

    If you are required to fill out this document and have not done so, you will not be able to see or accept jobs on the Swing platform and your account will show a red bar across the top indicating that you need to fill out the attestation.

    SwingSubs need to read the entire document and fill out the appropriate fields for your selection.  Inside the document, you can choose the appropriate response from the drop-down menu.  Either “I am Fully Vaccinated” or “I am requesting Reasonable Accommodation(s).”

    To Share Proof of Vaccination

    1. Select “I am Fully Vaccinated” from the drop-down menu.  Enter your name, the date of your final vaccination in your initial vaccine series, and the manufacturers of each shot in the boxes.

    **“Fully Vaccinated” means you have received the final shot in your initial vaccine series.  List the date of that final shot, not the date of your booster.**

    1. Select “Continue” to upload your proof of vaccination.

    1. Download the appropriate form from page 3 of the HelloSign. Fill it out and save it to your computer.

    You may be feeling that guidance around COVID-19 preparedness in schools is changing every day, and you wouldn’t be wrong.

    The team at Swing Education can’t predict in advance changes to state, local and district-level policies, but we can help you prepare to teach. Our COVID-19 Readiness Checklist will help you be ready to teach so you can continue accepting requests from your favorite schools.

    COVID-19 Readiness Checklist

    Before Accepting the Request

    • Review the school’s COVID-19 policy in the request by tapping on the “Commitments” button in the app and opening the request. (Or select “Open Requests” on your computer and click the request.) You will find the safety checklist and a link to the school’s official policy.

    After Accepting the Request

    • Have your COVID-19 vaccination card ready to show. You can keep the original card in your wallet or take a photo of it with your phone. See our FAQs at the bottom of this article for links to digital vaccination cards available in most states.
    • If you are not vaccinated, locate your most recent negative COVID-19 test. While Swing cannot predict how often an individual school will expect substitute teachers to be tested, we recommend a negative test that is no more than one week old.     The Night Before the Assignment

    Learn about the school’s check-in procedure by reviewing their official COVID-19 policy.

    Please note: some schools may ask you to take a COVID-19 test on campus, even if you are vaccinated.

     

    The Day of the Assignment

    • Have a face mask with you. Regardless of the school’s policy, SwingSubs are required to wear a face mask while on assignment. You can review Swing Education’s COVID-19 policy HERE.
    • Have your vaccination card (or evidence of a negative test) with you.
    • Bring your government-issued identification card, such as a driver’s license, in case the school’s check-in policy requires it.
    • If you believe your safety is at risk or a school is otherwise not providing a safe environment, you must inform Swing Support immediately (attn: School Safety Issue), and include a description of the environment or safety hazard. This is so that we can ensure you are not penalized for leaving, and so that we can investigate the safety issue with the school. Learn more.



    FAQs

    Does Swing Education require SwingSubs to be vaccinated?

    By law, substitute teachers in California are required to be fully vaccinated (2 weeks after your second dose in a 2-dose series, or at least 2 weeks after your first dose in a single-dose vaccine) to teach in schools. 

    Charter, public, and many private schools in New York City also require teachers to be vaccinated. Other states continue to update their guidance and may also implement vaccination and/or testing requirements. Please check your local health department’s website regularly.

    Swing Education does not require vaccination and provides exemptions for religious or medical reasons when completing our COVID Vaccination Attestation Form (in states where applicable), but we strongly encourage it for those who are able and eligible.

    Please keep in mind that subs with medical or religious exemptions for the COVID vaccinations, must still follow each individual school's unique COVID safety policies and guidelines. If you require an exemption, our school partners may set stricter requirements for their site. It is up to the discretion of the school or district to uphold individual policies which will be noted in each assignment (as shown above).

    I am vaccinated but the school is asking me to take a COVID-19 test. Do I have to take it?

    Some schools may require testing regardless of vaccination status. If you are unwilling to take a test, you will be sent home without pay. Be sure to read the school’s official policy so you are aware of the check-in procedures, which may include mandatory testing.

     

    What if the school does not require masks?

    Swing’s official policy is that SwingSubs must wear masks on assignment, regardless of the school’s policy. You can review Swing Education's COVID-19 Policy for SwingSubs HERE.

     

    I was turned away at a school because my COVID-19 test came back positive. Will I be paid?

    No, you will not be paid if you are turned away because of a positive test. 

    If you're a W-2 Sub, please reach out to support@swingeducation.com to ask about certain COVID Sick Pay Benefits. 

     

    I was turned away at a school because I forgot my proof of vaccination. Will I be paid?

    It is your responsibility to keep your proof of vaccination with you when you go out on assignment. We recommend:

    • Taking a photo of your card 
    • Or downloading one of the digital vaccination record apps noted above.

    You will not be paid if a school turns you away because you do not have proof of vaccination.

    Do I need to be COVID-19 vaccinated to work for Swing?

    SwingSubs in CA, NY, DC, and IL are required to either:

    • Be fully vaccinated (this means that the final dose in your vaccine series was received more than two weeks ago); OR
    • Request and receive a reasonable accommodation for an exemption from Swing's COVID vaccination policy due to a medical reason or because of a sincerely held religious belief. Accommodation requests must be made by notifying the Vice President, People Operations, in writing at hr@swingeducation.com. 

    Do I need to get a COVID-19 vaccine booster shot to work for Swing?

    Swing is currently recommending but not requiring a COVID-19 booster shot for anyone who is booster-eligible.  

    However, booster-eligible SwingSubs that have the booster shot may be subject to shorter quarantine periods when exposed to COVID-19, experiencing COVID-19 symptoms, or after testing positive for COVID-19, versus booster-eligible Swing Subs who have not received a booster shot.

    Across the nation, educators are responding valiantly to an unprecedented health crisis and its ramifications for students, educators, and their communities. 

    The COVID-19 pandemic is a national crisis that poses a serious health risk for everyone. We’re providing some essential tips that will help prevent the spread of disease and protect our subs, partnering schools, and their communities.

    Our Subs:

    • Wear a face mask/covering when interacting with others outside your home.
    • Always maintain social distancing (six feet) from anyone you do not live with.
    • Maintain the highest levels of self-cleanliness and hygiene practices.
    • Wash your hands frequently with soap and water for at least 20 seconds.
    • Familiarize yourself with your request’s school district’s Covid-19 guidelines.
    • Stay up-to-date with your COVID vaccinations and boosters. 
    • Be a role model for your students and practice the pillars of infection prevention.
    • Be cautious about the way you talk about the pandemic. Share positive, age-appropriate information with students.
    • Start a morning symptom check. This can be done by taking your temperature early morning before arriving at your assignment and watching for symptoms.

    These are just a few essential tips that we recommend our Subs implement during this pandemic while working at our partnering schools. We hope that you and your loved ones are well, and we are more committed than ever to making sure you're safe and supported during these times.

    This is a Distance Learning Code of Conduct. Listed below are our top distance learning requirements to ensure that teaching remotely will run smoothly. We want to make sure our teachers and schools are set up for success prior to your distance learning assignment. Please read the statement carefully and acknowledge that you will be held accountable to the below requirements.

     

    1. I will gather information from the school in advance -- on the distance learning platforms used, the log in credentials and the admin contact information.

     

    Tip: The admin’s contact information will be included in the assignment details or emailed to you. Feel free to reach out to them with any questions.

     

    2. I am proficient in the tools required for distance learning, and if I am not, I will complete Swing’s Distance Learning training or read through the presentation before my first distance learning assignment. If a school provides training and/or other resources, I will be sure to watch the training videos and read all assignment details.

    Tip: We strongly encourage practicing using the platform ahead of time so that you feel comfortable the first day you teach.

    3. I have a reliable computer with a working camera and microphone, as well as reliable internet access. I will show my face on camera. I will make sure to charge the computer that I will be using and have the charger readily accessible. I will make attempts to minimize background noise and/or distractions.

    Tip: Keep your laptop plugged in while teaching. We recommend logging in 10 minutes early to get the classroom set up.

    4. I will follow the sub plans from the classroom teacher, which may include taking attendance, keeping students on task and managing the classroom. If sub plans aren’t provided, I will create my own plans.

    Tip: The school will communicate any important information in the request details or via email. 

    5. If shadowing another teacher is required for my long term assignment, I agree to go through the shadowing training.

    We know that going to a new school can cause anxiety, especially when you don't have all the details. We have tried to provide some useful information by having the school provide an "about us" section in their accounts. You can view that information in the "View Details" of the request.

    "View Details" can be found on the assignment in the platform, or if they haven't filled it out, we encourage you to email the school so you can ask questions such as: 

      • What is their school dress code?
      • Where to park
      • Where you check-in
      • Lunch expectations
        • Determine if you need to bring your lunch

    Note: Every request has a point of contact.  Feel free to call or email this person with your questions.

    • Look-up the school’s address and parking directions. Estimate the time needed for travel the day before your assignment, including parking, and by consulting Google Maps.

    First impressions matter.  Schools use dress codes as a way to show students what professionalism looks like, and expect their educators to demonstrate that as well. 

    Many schools provide their specific dress code in the "Notes", which can be found on the request page of each assignment. If thy are not located in the notes and you need further clarification, you can reach out to the contact listed in the request.

    Swing Subs are expected to dress in business casual attire. Based on an analysis of dress codes at Swing’s partner schools, the following is generally considered acceptable:

    • Comfortable dress shoes/flats (avoid sneakers, sandals, or open-toed shoes).
    • Solid colored slacks (no jeans, avoid capris).
    • Neatly ironed buttoned-up collared shirt.
    • Blouse and/or knitted sweater/cardigan.

    If your request is for a physical education class you may wear athletic attire. 

    Schools also recommend avoiding any offensive or strong odors, such as cigarettes or perfumes/colognes, and to practice general hygiene before an assignment.

    Swing partners with schools that serve a wide diversity of students and communities across the United States. Swing has a responsibility to meet the needs of schools and also understand the challenges of substitute teaching. We expect our subs to have the utmost professionalism when representing Swing on a school campus. 

     

    All SwingSubs need to be on time, respectful, and prepared!

    Our list of standard expectations will help you be successful in most situations across all schools:

    • All communication will be professional and courteous with school staff- at all times. 
    • In the event that the school or a SwingSub are not satisfied with their experience, at any assignment and for any reason, the school or sub can request to be unlinked from each other.
    • We want our subs to succeed, so we will keep working with subs if they indicate that they have a desire to continue growing as an educator and we find that they’re a good fit for other schools.
    • There are some behaviors, however, which are considered unacceptable, including, safety incidents.
      • These behaviors are never acceptable at any school and can be grounds for immediate removal from the platform.
    • We may also consider removing a substitute from the platform when we observe a pattern of unchanged negative behavior or if the sub’s response indicates that the sub is unable to adequately improve.

    Expectations Regarding Safety Concerns

    This section contains behaviors that are never acceptable at any school and can be grounds for removal from the Swing platform. They could also result in schools or parents pursuing legal actions.

    We caution you to avoid the following behaviors to be successful at a school:

    • Have any physical contact with a student or their belongings
    • Have any interaction with a student or staff  that can be considered lewd or sexual harassment
    • Use inappropriate language (socially offensive/lewd) or verbally abuse a student, staff member, parent, or member of the public while on school property
    • Comment on a student’s personal appearance/characteristics, identities, abilities, or known disability
    • Have sole custody of a student in a private setting
    • Leave students unattended or not actively monitoring the class (ex: sleeping, being engaged with electronic devices, ignoring safety issues)
    • Leave the school grounds during school hours without notifying the school administration
    • Bring or show unauthorized movies (including but not limited to internet clips) or
      photographs to the students
    • Transport students in a vehicle without authorization from the school
    • Provide medication to a student
    • Attempt to contact or be contacted by a student outside of the assignment
    • Remove school property from school grounds or fail to return school property
    • Share confidential information about a student or school employee with
      non-relevant/third parties unless required by law (including but not limited to photographs, recordings, social media posts, or discussing a student's information - especially about a student’s disability or learning accommodations)

    Expectations for Accepting Assignments

    Reliability is extremely important to schools. By following these expectations you have the opportunity to earn Star Sub status.

    • Complete all accepted assignments 
    • Use the Swing platform to cancel an assignment, if you are no longer able to meet the assignment requirements
    • Avoid canceling any assignments less than 24 hours before the assignment start time

    Expectations On the Day of an Assignment

    First impressions matter, you may find yourself developing your network! Follow these expectations to make a great first impression.

    Checking In:

    • Arrive on time or earlier than the expected start time 
    • Contact the school immediately via phone if there is an emergency cancel or tardy
      • Contact us to explain the nature of the cancellation or tardy. This also helps us confirm any appropriate changes to the assignment.
    • Follow the school’s dress code
    • Follow the school’s check-in procedures
    • Be approachable, flexible, and ready to assist the school with their needs
    • Communicate professionally with all school staff
      • Do not use curse words or derogatory language
      • Avoid discussing controversial or polarizing topics such as politics, religion, drugs, sexuality, etc

    Before Class Starts:

    • Read over lesson plans and prepare materials needed to execute the plans
    • Familiarize yourself with the school’s behavior management policies and style
    • Familiarize yourself with all school safety equipment, such as fire extinguishers or eyewashes and protocols including but not limited to lockdown procedures, codewords, fire/earthquake/tornado procedures, and medical emergencies
    • Make sure you know how to communicate with your point of contact while in the classroom

    During Class:

    • Never leave students unattended
    • Make sure all students are accounted for by following procedures for attendance, hallway passes, and transitions
    • Actively monitor students - do not use personal electronics, read, or sleep
    • Follow the lesson plan and/or instructions provided by the school
    • Commit to remain objective with students and the learning material, without bias or prejudice
    • Communicate with staff if there is a safety concern in the classroom
    • If you are working as a teacher’s aide or paraprofessional, follow the directions of the lead teacher

    When interacting with students:

    • State and uphold behavioral expectations so the class maintains a safe learning environment
    • Treat all students with courtesy, kindness, and respect at all times
    • Engage with students by answering their questions.  Walk around the room and go to students
    • Understand and respect the values and traditions of the diverse cultures represented in the community and in the classroom
    • Avoid discussing controversial topics including but not limited to religion, race, politics, sex, drugs. 

    Passing Periods / Lunch / Prep Periods / Recess:

    • Follow all hallway, transition, and dismissal procedures including dismiss students at the bell or designated dismissal time
    • Follow any break, lunch, planning period, or recess procedures and complete any student monitoring duties or administrative duties during these time periods
    • Do not leave students unattended; wait until a qualified adult is present
    • Ask permission, and inform staff if you need to leave campus
    • Take breaks / eat lunch in designated areas on campus
    • Do not smoke cigarettes, use electronic cigarettes, or vaping on school grounds or near campus

    End of Classes / Assignment:

    Following these expectations will help you leave a good impression on the school.  This can lead to you becoming one of their preferred subs in the future.

    • Leave detailed notes for the teacher, avoiding judgemental or subjective language
    • Collect all school work from students and make sure it is organized
    • Follow all procedures for student dismissal
    • Do not let students leave until the designated time for dismissal
    • Leave the classroom as tidy as possible or in the same condition as it was upon arrival
    • Make sure any technology or equipment is accounted for and properly stored/locked
    • Ensure classroom is locked/secured
    • Return all school property, including keys
    • Follow all school check-out procedures
    • Ensure school admin is aware that you are leaving campus
  • Maintaining Positive Classroom Engagement
    Maintaining Positive Classroom Engagement

    We want to make sure all our subs have as many opportunities to work as possible, and we have noticed that some awesome substitutes are being unlinked from schools for being disengaged. These situations could have been easily avoided. 

    Please refrain from:

    • Leaving students unattended to use the bathroom or make a phone call
    • Sitting in the same spot the entire class and not assisting students
    • Not monitoring the classroom by:
      • Reading a book or newspaper
      • Using electronics (cell phones, computers, or headphones)
      • Remaining seated during the entire class

    Schools are liable for student safety during school hours, so schools expect that substitutes actively monitor and supervise students at all times. 

    We know you all are working hard, and we want to make sure that you keep getting invited back to school. Here are some tips to help schools recognize that you are engaged in the classroom:

    • If you need to leave the classroom for any reason, call your point of contact at the school and do not leave until another qualified adult is in the classroom to relieve you.
    • If you are assisting a student or engaging in other classroom duties, be sure to look up and survey the entire class often
    • If students are working quietly, resist the temptation to text, surf the web, or read. Here are some alternative activities that schools often love to see:
      • Circulate throughout the room (without hovering)
      • Assist students who ask for help
      • Ask students who are off-task if they need help
    • Do not respond to text messages (even those from Swing), phone calls, emails, etc., except during passing or planning periods, lunch, or times when you are not responsible for actively monitoring students. We know you don’t want to miss other sub opportunities!

    Tips: When Assignment or Sub Role is Unclear

    As a substitute, you have the opportunity to work with a wide variety of schools. You may have noticed that the degree of organization and the amount of support a school can offer may differ greatly depending on the school’s leadership style and its access to financial and human resources. Working with students can also be unpredictable, and sometimes emergencies arise that require the attention and focus of administrators, which can leave you with little support or direction.

    Below are some real situations that have happened to subs that could leave you scratching your head on what to do:

    • You arrive at a school no one is in the office or answering the phone. (Tip: take a photo for proof that you arrived with a time stamp.)
    • You arrive at a school, and two subs show up for the same job. Your point of contact dismisses you from your assignment. It is too late for you to find another assignment.
    • An administrator asks you to wait for instructions and then they disappear because of an emergency, and no one in the office knows what you are supposed to do.
    • The teacher’s planning period is the last period of the day. You no longer have students, so you go to the office to see if you are dismissed, and no one is there or answering the phone.
    • A teacher comes into your class, and they tell you that they got the class and that you don’t need to be there anymore.

    If you ever find yourself in a situation where you are unsure of what you are supposed to be doing please do the following to ensure that you are fulfilling your duties.

    • Do not leave campus until you are dismissed by your point of contact or an administrator. It is possible that the school may want to reassign your role or change your responsibilities during the day.
    • Always fully follow each school’s check-out procedure.
    • If you are attempting to follow the school’s check-in/check-out procedure but your point of contact or administrators are not available contact us, here.
    • Never leave students unattended, unless students are officially dismissed from class, or you are relieved by a qualified adult. If you do not know if the adult is qualified, do not leave.
    • If you have already arrived at a school and the school cancels the assignment, you will still get paid for the day. Note: As long as you faithfully tried to fulfill the duties of the assignment and do not leave until you are officially dismissed.

Independent Contractor FAQs

  • What is The Cancellation Policy for Swing Sub Independent Contractors?

    Things happen! When they do, you can cancel an assignment by pressing the "Cancel" button on the Request page.

    Before you cancel, keep in mind the following:

    • Schools are counting on you, and canceling means, they scramble to try and replace you.
    • There is no penalty when you cancel a confirmed request UNLESS there are:
      1. more than 30 minutes since your acceptance of the request, and
      2. less than 24 hours before the start time of the request.
    • If you cancel more than 30min after accepting and less than 24 hours from the start time, this is a Last-Minute Cancellation. This affects your sub rating and may be subject to disciplinary action. Accruing multiple Last Minute Cancellations may result in disciplinary action up to and including termination.

    Can a school cancel after I accept a request?

    Similar to above, a school may cancel a request UNLESS there are:

    • more than 30 minutes since your acceptance of the request, and
    • less than 24 hours before the start time of the request.

    When a school cancels, the request is no longer active. 

    What about multi-day requests?

    Even if you have started a multi-day Request, the school may cancel subsequent day(s) without penalty if they cancel at least 24 hours before the start time of the day(s) they are canceling.

    If a school cancels less than 24 hours in advance, will I be paid?

    With few exceptions*, you will be paid for the full amount if the request if a school cancels more than 30 minutes after you accept and less than 24 hours before the start time.

    With few exceptions*, you will be paid at least ½ the value of the Request if a school cancels more than 30 minutes after you Accept and less than 24 hours before the start time.

    *Exceptions:

    1. You are more than 15 minutes late to an assignment
    2. The school cancels due to negative feedback about your performance
    3. The request is canceled for emergencies (e.g., weather, health or safety threats, natural disasters, etc.
  • What Do I Do if I'm Missing Pay?
    What Do I Do if I'm Missing Pay?

    If you are a 1099 contractor, please check the itemized breakdown of your pay to confirm what request is missing. Then, submit an inquiry to our Support team so that we can take a look at your issue. To expedite your inquiry, please be sure to include the following:

    • School Name
    • Admin Name
    • Date of missing/incorrect payment
    • Hours worked

    If you are a W-2 employee, please check out our article, Where's My Payment?

    Once we get your inquiry, we will contact the admin for confirmation and contact you with any additional questions, and/or a resolution. 

    Best practices for payment: 

    1. Check your account every Friday to confirm all days worked that week are reported under your commitments tab. If you don't see a day you worked, and it was within the last 7 days, contact us. Note: If your request is longer than 7 days, any days worked will still remain under the "upcoming" tab,  but will still be paid weekly. 

    2. Don't accept requests directly from the schools via email/phone/text. All work should be accepted through the Swing text, Swing App, or the web platform to avoid delays in payment. 

    Things to note: 

    1. It is your responsibility to ensure your payment is correct each week. We will not know you are due for payment unless the request has been issued on the platform with the correct days. 
    2. Canceled requests will not appear on your account. However, as long as you accepted the request through the Swing platform, you will be paid for any days worked prior to the cancellation. If applicable, cancellation penalties will apply. 
    3. Multi-day requests that are still ongoing will be in your upcoming commitments section until the request ends, and will still be paid weekly. 

     

  • How will I get paid and how often?

    How do I set up my payment information?

    • All 1099 SwingSubs are paid through our third-party payment processor "Tipalti". Please check out Setting Up Your Tipalti Account for a step-by-step guide on setting up your account.
    • All W-2 SwingSubs are paid via ADP. Please see here how to enter your hours on your timesheet. 

    How will I get paid and how often?

      • You will be paid weekly by either direct deposit or check. 
        • If you have chosen to be paid by check,  please allow up to 21 days after issuance to receive your check in the mail.
          • If you do not receive it, please reach out to us so we can investigate. 
      • You will be paid by Friday of each week, and that weekly deposit will include payments from any work completed in the prior week.

    How can I check the status of my payment?

    You will be able to see your Payment History by clicking ‘Payment History’ from the dropdown menu on your Tipalti account. Your payment details, for the previous week, will be available by Wednesday each week.

    How to View Payment History (Overview)

    In order to view your payment history or download pay statements, you'll need to use a desktop web browser. Then you will: 

    1. Login to Swing on your desktop web browser
    2. Click on the "Payment History" on the drop-down menu
    3. Select which payment you want to review by clicking on the blue arrow

    Note: This feature is not available on the Swing App. This feature is only available on the Swing Platform via a web browser. 

    On your Payment History tab you can:

    • See the general amount paid to you by the week.
    • View an itemized breakdown of the week's pay, including location and hours worked.
    • Download weekly pay statements
    • Download a CSV file of all payments made.
    • Download a confirmation of payment page directions listed below. 

    How To Download Weekly Pay Statements: 

    1. Click "Payment History" from the dropdown in the top right-hand corner. This will show you week-by-week summaries of your payment amounts

    2. Click on the blue arrow next to a given week to go to the “itemized payment details”,  where you can see all your payments broken down.

    Please allow up to a week's processing time. We cannot provide employment verifications as Swing Subs are independent contractors, however, income verifications are typically an acceptable replacement.

    Login to your account and head to the top right-hand corner of the page. Click on your name and select “Payment Setup.”

    After you log in, you will be taken to a four-screen process. Once you complete the steps on each page, click the “Next” button on the bottom, right portion of the page to move on to the next section. 

    Page 1: Read and Agree to The Terms of Agreement

    • Checks - Verify your name, address, and currency.

      • The cost is $2.10 per check.
      • A 2.5% foreign currency conversion fee may apply.
      • Please allow 15 business days for the check to arrive.
      • Checks are for deposit only and cannot be transferred.
      • Note: P.O. Boxes cannot be used for your payment address.

    Once you've filled out your payment info, click the "Next" button to continue to Page 3.

    Page 3: Complete your W-9 and sign electronically

    Complete the W9 Tax Form so that Swing can send you a 1099 form at the end of the fiscal year.

    Typically, Swing Subs get paid as individuals. You can set this up by checking the "individual/sole proprietor or single-member LLC" box on the W-9 form.

    Note: If you've created a corporation or other legal entity under which you want to get paid, you can use those boxes.  If you are not getting paid as a business, please leave the "Business Name" section blank.

    More information on taxes as a Swing Sub:

    Note:  In order to pass TIN validation, the following 2 things should match.

    • Page 1: Address: first, middle, and last name
    • Page 3: Tax Forms: digital signature and the name you entered (The SAME as the name you used for your bank account.) The name used should be the same name that you use to file your taxes and is associated with the SSN [individual] or EIN [company] you entered on this tax form. 

    Digitally sign your W-9 by typing your full name and your email address. Once you reach the following screen, you are ready to get paid by Swing!

    Please contact us for an income verification letter. You can expect a response within 3 business days. 

    What will the income verification letter entail?

    • The income verification letter will state when you have worked, the state you have worked, what you were paid, the status of those payments, and if you are a current or former contractor.

    When can I request an income verification letter?

    • You can request an income verification letter at any time after being set up as a sub. We suggest utilizing your best judgment when deciding when you'd like to request one for the letter to be of value to you.

    Can I request an employment verification letter?

    • We cannot provide you with an employment verification letter since you're working as an Independent Contractor. You can always reference the contractor agreement you completed when you were set up for further clarification on your relationship with Swing as an Independent Contractor.

    What is my virtual New Hire Orientation?

    Your Virtual New Hire Orientation will give you insight into your W-2 employee status at Swing. This is considered your first day of work! It will be conducted via Zoom and will be a paid session about an hour and a half long.

    Once I've requested my virtual New Hire Orientation date, can I attend?

    After you've requested your Virtual New Hire Orientation date, you will be sent an email from our partner i9 Everywhere to begin your I-9. In order to receive the Zoom link for your New Hire Orientation session, your I-9 must be completed by you and verified by i9 Everywhere.

    Where is my Virtual New Hire Orientation invitation?

    If your I-9 has been verified by i9 Everywhere, one hour before your orientation session you will be sent an invitation from Zoom to the email you use for Swing. If it's within an hour of your orientation's start time and you have not received the email, please check your Junk or Spam folder before you reach out to support. 

     

    Do I have to attend Virtual New Hire Orientation? 

    Attending the Virtual New Hire Orientation is mandatory; you must be on time as the webinar session is locked after the first 5 minutes.

     

    Will I be paid for onboarding? 

    You will be compensated for your Virtual New Hire Orientation time. It will be about an hour and a half long. 

     

    What is ADP?

    During your Virtual New Hire Orientation, you will create an ADP account for Swing. ADP is where you will complete your remaining New Hire onboarding steps: completing your W-2 onboarding process. ADP is also where you will punch your hours in your weekly timesheet, view pay statements, and sick time accrual rates.

     

    How long to I have to complete ADP?

    You will need to complete your ADP onboarding steps within the 30 days following your orientation.

    What is The Cancellation Policy for Swing Sub Employees?

    Things happen! When they do, you can Cancel an Accept by pressing the "Cancel" button on the Request page.

    Before you cancel, keep in mind:

    • Schools are counting on you, and a Cancel means they scramble to try and replace you.
    • There is no penalty when you Cancel an Accept UNLESS there are:
      1. more than 30 minutes since your Accept, and
      2. less than 24 hours before the start time of the Request.
    • If you cancel more than 30min after accepting and less than 24 hours from the start time, this is a Last-Minute Cancellation. This affects your sub rating and may be subject to disciplinary action. If you accrue multiple Last Minute Cancellations, this may result in disciplinary action up to and including termination.

     

    Can a school cancel after I Accept?

    Similar to above, a school may cancel a Request UNLESS there are:

    • more than 30 minutes since your Accept, and
    • less than 24 hours before the start time of the Request.

    When a school cancels, the Request is no longer active. You should not show up, and neither you nor Swing will be paid.

    What about multi-day Requests?

    Even if you have started a multi-day Request, the school may cancel subsequent day(s) without paying you or Swing if the school cancels at least 24 hours before the start time of the day(s) they are canceling.

    If a school cancels less than 24 hours in advance, will I be paid?

    With few exceptions*, you will be paid for the hours listed on the Request if a school cancels more than 30 minutes after you Accept and less than 24 hours before the start time.

    *Exceptions:

    1. You are more than 15 minutes late to an assignment
    2. The school cancels due to negative feedback about your performance
    3. The Request is canceled for an emergency (e.g. weather, health or safety threats, natural disasters, etc.)

    Note: this article pertains only to SwingSubs employed as W-2 employees of Swing Education.

     

    We'd be sorry to see you go, but we understand there may be circumstances which prevent you from working with Swing Education in the future.   If you decide to terminate your employment with Swing, please contact us saying you intend to resign with the date of your resignation. For example:

     

    I, [name], am writing to inform Swing Education of my intention to resign from substitute teaching with Swing. Please accept this notice of resignation effective mm/dd/yy. 

     

     

    FAQs

     

    Why do I need to send a resignation letter?

    Swing needs to know your intention to resign so we can provide you with the required documentation such as unemployment information. 

     

    What happens after I submit a resignation letter?

    Swing will close your account and you will no longer receive teaching requests or be able to access your account on the Swing platform. You will also receive documentation from Swing's HR team pertaining to unemployment and other topics related to separating from Swing. 

     

    Will I be able to access my ADP account and my pay stubs?

    Yes, you will be able to access your ADP account for the purposes of accessing pay stubs and year-end tax forms.

     

    What if I don't submit a resignation letter?

    If you do not submit a resignation letter, and you no longer accept teaching requests on the Swing platform, Swing will consider inactivity a constructive quit and will terminate your employment. 

     

    What if I want to return to Swing in the future?

    If you wish to reapply to Swing in the future, you may contact us.

    What if a School Wants to Change My Request? (For SwingSub Employees)

    Sometimes the needs of a school can change. They might need you to stay late or sub for an extra day. In these situations, we ask that you remain flexible and follow these guidelines:

    As a W2 employee, you are paid hourly which means you will only be paid for hours worked.

    • If you are sent home early;
      • You may be entitled to report pay if you are sent home less than halfway through your scheduled day, Report Pay.
      • You may also ask the Admin if there is another class, school, or any duties you can fulfill so you have the opportunity to work all hours listed on the request for the day. 

    Schools can make any changes to a request anytime up until 24 hours of the start time without penalty.

    • Always make sure any edits are updated on the request page and that you aren't accepting these changes verbally.
    • You have the option to respectfully decline the changes requested by the school and find a new request if the changes are within 24 hours.
      •  Wait for the admin to cancel, or reach out to support to communicate the cancellation.
        • Please do not cancel the request on your behalf, this will create a last-minute penalty on your account.
        • Do not enter the canceled day on your timesheet. You will be paid automatically for any payable penalties during Payroll processing. 

    If you accept a request that isn't in our system and report the hours on your timesheet, we may end up underpaying you since we wouldn't know where you worked, which means we wouldn't how much to pay you. 

    • If a request isn't on the platform;
      • Ask the Admin to issue the request so you can accept it on the Swing platform.
      • Write into Support and provide us with all the details you have regarding the assignment along with who you spoke to and we will work with the school partner to get the request issued on the Swing platform. 
      • Review your account and your accepted requests for updates.
      • Each week, review the Weekly Summary email that is sent to you. This will allow you the opportunity to review your expected pay for the week and reach out if you have any questions or concerns regarding payment or missing requests. 

    If a school cancels a multi-day request you will be paid for all days worked during that time.  You won't see the request on your account under "Past Commitments" but be sure to input hours for days and hours worked to be paid.  You can always confirm with Support if you are concerned about payment.

    In August 2020, Swing Education began converting California teachers to W-2 employees. In this article, we answer the most common questions regarding W-2 conversion. See also:  W-2 Set Up: What's Changing, What's Not. 

     

    What does this transition mean for me?

    Prior to W-2 conversion, Swing Subs were classified as independent contractors, also referred to by their tax status as “1099 contractors.”  As of January 1, 2021, all California Swing Subs must be W-2 employees to accept requests on the Swing platform. Please note: by law, Swing Education is not permitted to retain Swing Subs as 1099 contractors in the state of California.

     

    Will Swing convert teachers outside California to W-2 employees?

    Not at this time. However, we will notify you should your state be set to convert. Swing Subs outside California may continue to pick up teaching assignments as 1099 contractors.

     

    What if I don’t want to be a W-2 employee? 

    By law, Swing is no longer permitted to retain California substitute teachers as independent contractors. Thus, we have made the decision to transition all teachers to employees. If you do not wish to be a W-2 employee, contact us and we will deactivate your account.

     

    What are the advantages of being a W-2 employee?

    As a teacher employed by Swing Education, you will be eligible for benefits such as sick time accrual. Additionally, you are eligible for health care and a 401k after you consistently work 30 or more hours per week over a period of 12 months. Learn more about other perks here.

    When will I learn more details about benefits?

    During the setup process, you will be given a soft copy of the employee handbook, which lists benefits in detail.  Once fully set up, you will also be able to access the handbook on the home page of the ADP portal.       

     

    What are the tax implications of being a W-2 employee?

    As your employer, Swing will be responsible for taking payroll taxes from your paycheck. Upon set up, you will be asked to fill out IRS form W-4 and your state's tax withholding form, if applicable, so we know how much tax to deduct. At the end of January each year, you will receive Form W-2 from Swing Education.

     

    When will I receive form W-2?

    Form W-2 is the tax form reporting your earnings as an employee, typically sent out at the end of January. If you completed any teaching requests as a W-2 employee in year 2020, you will receive form W-2 in January of 2021. If you are still a 1099 independent contractor, you will receive form 1099-MISC, the same for you received from Swing in prior years.

     

    If you are a W-2 employee, you will find your form W-2 in your ADP account. Swing will also mail out a paper copy. Be sure the mailing address in your ADP account is up-to-date.

     

    Does being an employee mean that Swing determines my work schedule?

    No. Swing Subs may continue to accept only the requests they wish to take.

     

    May I continue to accept distance learning assignments?

    Yes, Swing Subs may continue to accept any requests they'd like, whether distance learning or on site.

     

    Will my pay rate change?

    As a W-2 employee, you will be paid hourly and will be required to fill out a timesheet. Please review our help article, W-2 Pay FAQs, for information on how pay rates for W-2 employees are calculated. 

     

    Does Swing take a cut of my pay? 

    No. Our partner schools set the pay rate for substitute teachers. Swing earns money by applying a surcharge to the rate paid by schools.

     

    Am I required to work a certain number of hours to maintain my status as an employee of Swing Education?

    Yes, you are required to work 7 days per month. Learn more.

     

    How will I get paid?

    Once you transition to an employee, the payroll provider will change from Tipalti to ADP. During set up, we will walk you through how to access the ADP system, set up your account, and complete your I-9 and tax forms. You will continue to be paid weekly.

     

    Will I receive overtime and meal breaks?

    Yes, once converted to W-2, teachers are eligible for overtime and meal (lunch)  breaks in accordance with your state's labor laws. Details will be spelled out in the employee handbook you’ll receive and sign during set up, and you can always email us with questions below.

     

    Do I need to renew my requirements when I transition to W-2?

    No. Your requirements will continue to be renewed according to the same schedule. 

     

    Are there any new requirements?

    Yes. You must sign the COVID-19 Acknowledgement Form in your Swing account in order to view and accept requests. Additionally, certain states require teachers to take sexual harassment training sessions periodically. You will receive a notification from us when it is time to take training specific to your state. 

     

    Do I need to pay any fees to transition to W-2 status?

    No. The cost of transitioning will be covered by Swing.

     

    Will the schools I work with change?

    No, you will still be eligible to teach at the same schools. Please note that school openings will be affected by COVID-19 guidelines, so you may initially see fewer requests.

     

    I am currently on unemployment. If I transition to being an employee of Swing, what happens to my unemployment benefits?

    Swing Subs currently receiving unemployment will continue to receive unemployment until they (a) work full time for a week or (b) earn more on a part-time basis than their unemployment benefit. This applies equally to Pandemic Unemployment Assistance (PUA) benefits, and applies regardless of the Sub's prior status as an independent contractor.

    How do I fill out my ADP timesheet?

    You can enter your time on your timesheet by either logging onto the website of ADP or using their mobile app.

    We suggest that you ensure your timesheet is accurate and ready for payment by completing it and approving it by 8 PM on Friday evenings, although it is due by 11:59 PM every Saturday. If you run into an issue over the weekend, you will not have ADP or Swing's help until Monday, and your timesheet will be late.

    Your timesheet is a legal document. Entering hours you did not work is time fraud. It is your responsibility to ensure it is 100% accurate by the weekly deadline. Please watch the videos we've included below for how to fill out your timesheet, contact us, or contact ADP for technical help.

    Adding hours to your timesheet 

    To add hours to your timesheet, you only need to add in the times you clocked in and clocked out for work. 

    You can add these hours to the line with the corresponding dates that you worked. 

    To add record your lunchtime, you would punch out when you leave for lunch. You would then punch back in when you've returned to lunch. You will then punch out once you're done subbing for the day. 

    Just so you know, you do not need to add a transfer code. Our payroll team will process this for you. 

    Do I add a Pay Code for my hours?

    No, you do not need to add a pay code to clock in your hours. Pay codes are only meant for when you need to login in to add training or sick hours. 

    • Use the "Training CA" pay code for Mandated Reporter Training 
    • Use the "Sick" pay code for adding in your available sick time. 

     

    How to approve your timesheet 

    Once your hours have been added and completed for the week, you can mark them as complete by submitting your timecard for approval.

    Click on the "Approve Timecard" button on the left-hand side and click approve timecard. Your timecard will then become highlighted in yellow to signify it's been submitted.

    Please remember to submit your timesheet for approval by no later than 8 PM on Friday evenings, although it is due no later than 11:59 PM every Saturday. 

     

    How to enter your times via the ADP app: 

     

    Need help? Something isn't saving or giving you an error? You can Contact ADP. They're available Monday-Friday, 5:00 a.m. to 8:30 p.m. PT. 

    If you have a general Payroll question, please let us know by contacting us using the button below.

     

    Important:

    • As a best practice, fill out your time card each day that you work and submit it by Friday evening each week. You should be able to fill out your time card during working hours, but if for some reason you cannot do so, use the "timesheet" pay code in the pay code column in addition to your punched times.
    • If you were not given a 30-minute lunch break, do not enter one on your time card.
    • Enter your exact arrival and exit times as close to the minute as possible. Intentionally falsifying records will lead to termination. Entering hours you did not actually work is time fraud. Do not enter anything other than the hours you actually work, regardless of what the school’s request states. 
    • You will need to enter your meal periods as taken. Please ensure you are being given a meal period by your 5th hour of work and clock out/in for them on your timesheet.

    Adding sick time 

    You may take sick time in one-hour increments as it is accumulated. You must do your best to cancel the teaching request at least 24 hours in advance. Keep in mind canceling within 24 hours will hurt your reliability performance score.

    To record sick time on your time card, select "sick" from the pay code column and enter the total number of hours you want to use by entering them as whole numbers. This will override the "half-day, full-day" prefilled options. You will only be able to take the total number of hours you have accumulated. 

     

    Additionally:

    Please ensure you punch all hours worked, regardless of what hours are listed on the request page. This includes punching times such as prep time, grading, meetings, and any other extra work activities that couldn't be completed during the workday.

    For example, while you should be able to complete your timesheet during an assignment, if you need extra time outside of an assignment to do so, you should include that time by using the "timesheet" pay code and entering the total time outside of working hours that it took you to complete your timesheet.     Orientation hours:

    Orientation time will automatically be added to your first paycheck as a Swing employee. 

    ADP Onboarding:

    Once your New Hire Orientation has concluded, it may take you additional time to complete your onboarding items:

    1. Tax Withholding
    2. Payment Options
    3. Emergency Contacts
    4. Documents

    You will be automatically paid 90 minutes in addition to your time in orientation for completing these administrative tasks. If you need additional time, contact us below.

    Mandated Report Training hours:

    In order to add training time, you will need to enter it by using the pay code 'training' and then the number of hours taken to complete the training.  Renewals are typically 3 hours and newly hired subs are typically 8 hours. Do not use this for any other piece of training you may have with schools.

    Note: Any red 'i''s means that you are adding time that does not have a 'schedule' attached to it. You can disregard those notifications as they will be fixed during the Payroll Process once we upload your Swing schedule into ADP. 

    Harassment Prevention Training hours:

    This training should take 1 hour and 20 minutes, therefore you will be paid an hour and twenty minutes to complete this training (this will be added to your timecard on your behalf based on our verification of your completion of the training). Please verify your paycheck and if you have any concerns, reach out to payroll. If the course takes you longer than 1 hour and 20 minutes, please contact us below so that we can amend it accordingly.

    How to Enter Hours on Your ADP Timesheet

    • Make sure you are entering AM and PM (If you don’t put an “A” or a “P” after the time the system will automatically default to A.M.). 
    • Entering a “:” is not necessary (ie. 8:00 AM). You can simply type in 8 AM and the timesheet will correct the punch on your behalf. 
    • It is important to note that if you miss a punch, then the ADP system does not know the amount of time worked, and therefore will not pay you for those hours. The cell will be colored RED. Entering the punch will correct the error. 
    • Review and enter your time each day rather than waiting until the end of the pay period. Entering hours you did not actually work, is time fraud. Do not enter anything other than the hours you actually work, regardless of what the request page states. 
    • As a reminder, a 30-minute, uninterrupted, off-duty lunch break must be provided by your 5th hour of work. A second lunch break must be provided if you work more than 10 hours on any one day.
    • Your timesheet must be approved by 11:59 PM on the last Saturday of the pay period. It is okay if you forget, you will still be paid for the time you punched.
    • Your timesheet will be locked by 9 AM Monday morning. If you forgot to punch your hours for any previous weeks, you must reach out to us to process a manual timesheet. 



    What does the red "i" mean on my ADP timesheet?

      • Each penalty is 1 additional hour paid to you at the hourly rate for the day. It is unacceptable for you to not take your lunch break to purposely accumulate these penalties. 
      • It is your responsibility to advocate for yourself to ensure the school is providing a lunch break on time. Swing is not there to advocate on your behalf, so we expect you to ensure you are following this employment expectation. It is not acceptable to assume you will not be given a lunch break or that the school is too busy to provide one.

    Please follow the steps below on how to view your ADP pay statement: 

    Once you've logged into your ADP account:

    2. Under the Myself > Select Pay Statements

    What is Mandated Reporter Training?

    California Ed Code requires all school personnel to complete free training to become Mandated Reporters and to renew this training annually. Mandated Reporters are required by the state of California to report any known or suspected instances of child abuse or neglect to the county child welfare department or to local law enforcement agency (local police/sheriff's department).

    When do I take Mandated Reporter Training?

    You will be prompted to complete your Mandated Reporter training after your first day of working in the classroom. At that point, you will have six weeks to complete the free online training and upload your certificate of completion to Swing's website for our team to review and confirm. If your certificate has not been confirmed at the end of this six-week period, you will no longer be eligible to view and accept substitute teaching requests. Your access will be restored as soon as your certificate is confirmed.

    How do I take Mandated Reporter Training?

    Go to the Mandated Reporter Training Website, or you can submit a valid completion certificate from a school or another reputable & compliant third party.

    If you HAVE taken Mandated Reporter Training through this site before:

    1. Log into your existing account.
    2. Retake the School Personnel Training

    If this is your FIRST TIME taking the Mandated Reporter Training on this site:

    1. Click on "Register/Sign In"
    2. Click the "Sign Up" button
    3. Select the School Personnel course and then click "Next"
    4. Fill out the required fields (name, email, zip code), create and confirm a password, and click "Next"
    5. You'll be prompted to check your email inbox for an email (it may take 5-10 minutes)
    6. Verify your account through the email, and you'll log into the Mandated Reporter site again
    7. You'll be prompted to take the General Training, which is a prerequisite for the School Personnel course. Click "Take Training" to get started.
    8. Once you've finished General Training, you'll be required to complete an exam. Click "Take Exam" and complete the 20 questions.
    9. The School Personnel will become available once you've passed. Rinse and repeat by taking the School Personnel course followed by the related exam.
    10. Once it's completed, be sure to download your certificate!
      • Please note: in the event of technical difficulties, submit a request for help through the “Contact Us” form on the Mandated Reporter Training Website. Swing Customer Service is unable to provide technical support for this website. There is also a series of helpful How To Videos on their website that show you, click-by-click, how to register, download your certificate of completion, etc.

    What do I do after the training?

    Log into your Swing account and follow the prompt to update your account.

    1) Answer "Yes" to whether you completed the CA Mandated Reporter Training:

    2) Then upload a copy of the CA Mandated Reporter Training certificate by clicking on the "Submit" button:

    When you click the "Submit" button you can upload the certificate that you just downloaded. Our team will review and confirm it, and you'll be ready to sub!

    If you haven't the Mandated Reporter Training select "No" then click on "Register and Sign In" to sign up for it.

    How to add Mandated Reporter Training to your timesheet:

    If this is your first time, then you would do both the Mandated Reporter General and School Personnel training for a total of 8 hours of training. 

    For a renewal, you would only need to do the Mandated Reporter School Personnel Training and can add up to 4 hours to your timesheet. 

    You will be able to enter the training into your timesheet by using the pay code "Training CA" and the number of hours in your timesheet in the "Amount" section.

    If you're a Swing Sub in California, getting a sub permit is a fabulous idea- you'll be able to see more requests (that are often also higher paying!), and your qualifications will be more desirable to schools. 

    The CTC has recently modified its standards and now include new pathways to obtaining sub permits, meaning that the CBEST is no longer required! That said, our Compliance Officer is hard at work reviewing these new opportunities to fulfill the Basic Skills Requirement (please feel free to explore the link yourself and see what option is the best for you) but in the meantime, you can use the following as a guide for your permit application if you have taken and passed the CBEST already:

    I've applied for my permit, now what?

    That's wonderful! You should have been notified by the CTC about the estimated processing time and status of your application. Once you’ve been approved please log in to your Swing account and add your document.  

    How do I renew my permit?

    It's very simple to renew your permit! All you need to do is check out this website from the CTC - it has more information on how to renew it online, which should be processed within two weeks. Once you’ve been renewed please log in to your Swing account and update your document.

    How To Register and Sign-Up For The CBEST

    Most subs meet the Basic Skills Requirement for the California 30 Day Emergency Sub Permit by taking the California Basic Educational Skills Test (CBEST).

    It is a three-part test which consists of 50 multiple-choice Math questions, 50 multiple-choice English questions, and two essays for the Writing section. Click here to see our top tips for the CBEST!

    There are five main steps you need to complete to fully Sign-Up for the CBEST. 

    • I. Log-In
    • II. Register
    • III. Review Cart / Payment
    • IV. Next Steps / Scheduling Test
    • V. Final Check-out

    This article will walk you through the fives steps.

    I. Log-In

    1. Go to https://www.ctcexams.nesinc.com/PageView.aspx?f=GEN_Register.html and click “Register Now” button

    2. If you already have an account, Sign In by entering your email address and password.  If you don’t have an account click on “Create an account now” and continue on to create an account. 

    II. Registering for the Test

    1) Identity Confirmation

    Confirm you are the person who will be taking the test by checking the box next to the statement “I am the person who will be taking the test” and clicking “Next”

    2) Program Selection

    Check the box next to the California Basic Educational Skills Test (CBEST) and click “Next”

    3) Test Selection

    We highly recommend taking the computer-based test as there are more testing dates, times, and locations.  Be sure to select “Add” all three sections: CBEST Mathematics Section, CBEST Reading Section, and CBEST Writing Sections before clicking the “Next” button

     

    4) Alternative Testing Arrangements

    Most testers do not need alternative testing arrangements. If you know you do not need alternative testing arrangements, click “No, I do not plan to request alternative testing arrangements” and click the “Next” button. If you think you may need alternative arrangements, please click the links they provide and read their guidelines before choosing yes.

    5) Test Date and Location

    This page is letting you know that you have a year to schedule your test from the time you register.  You just need to click on the “Next” button.

    6) Score Reporting Options

    You did not need to choose an “Institution to Receive Test Results” from the drop-down menu.  You can simply click the “Next” button to continue.

    On the following page, we recommend selecting “Yes” to have your test results mailed to you.

    7) Background Questionaire

    The only question that is required for you to answer is “What is your race or ethnicity?”  You can choose to answer the other background questions or you may just continue to click “Next” without answering.  Please note there are about 10 pages of background questions.

    8) Review Registration

    Review your registration responses and click “Add to Cart” at the bottom of the page when you are ready to register.

    III. Review Cart / Payment

    Review your cart and click the "Check Out" button.

    1) Agreement

    Review the testing agreements by clicking the box next to “I acknowledged” and clicking the “Next” button.

    2) Payment

    Read the Withdrawal/Refund Policy for Computer-Based Testing and check the box next to “I acknowledge…” if you agree with the statement.  Then enter your payment information and click the “Next" button.

    3) Review Order

    Review your information and click “Submit Order” button.

    IV. Next Steps / Scheduling Your Test

    1) Click on the link that says “Schedule Your Test”

    V. Final Check-Out

    1) Confirm Personal Information

    Review your information. Your name must exactly match the identification that is presented at the test center or you will not be able to take your exam.  Click on "Update my information" if you need to change your name.  If your information is correct then click the “Next” button.

    Read the policies and if you agree, check the box next to "I have read and agree to the Evaluation Systems policies listed above.” then click the “Next” button.

    If you are moving and want to continue to work with Swing, you may be able to do so! Depending on where you are relocating and whether Swing is onboarding in your new location, we can help direct you with next steps. 

     

    Step 1: Identify whether you are moving out of state or within your state

    If you are moving within the same state, you will need to update your address and location preferences to give you access to assignments in your new location. 

     

    If you are moving out of state and to one of our participating regions, you may need to complete additional onboarding requirements to be compliant in your new region.

     

    If you are moving out of state to a region where we do not operate, you will need to resign.



    Step 2: Review our school partner locations

    Take a look at our Swing School Partner locations to see if we operate in your area. 

     

    Whether you are moving to a new state or just to a different city, you will want to be sure you are able to comfortably commute to jobs with our school partners. 

     

    Note: If you do not see your new state or location on the map, we are not yet set up in your area. If this is the case, you will be unable to continue working for Swing. Please write in to support for assistance.



    Step 3: Review your onboarding requirements

    Once you have identified your new location and confirmed we operate in that area, please review your onboarding requirements. 

     

    If you are changing your location within the same state:

    • Log into your Swing account and ensure that you meet all requirements for that region by navigating to “account settings.”

     

    If you will be moving states to a location where we are operating, the requirements for onboarding may be different. Please reach out to support before taking any onboarding action. 

     

    • You may need to complete new onboarding requirements for your new state before you are able to sub. The Swing platform will walk you through these onboarding steps in your new state, but we recommend reviewing onboarding requirements ahead of time so you know what to expect:

    Step 4: Reach out to support

    We do encourage you to reach out to an admin or Pod Parent, with whom you had a great interaction, to ask them to be your Swing reference.

    What is a long-term request?

    • A request that is more than 15 working days, though this may vary by school* and is subject to change. 
      • *Our Texas partner's longterm requests start at 30 working days, based on state credentialing requirements.
    • Long-term requests are waitlist only, so be sure to sign up for as many that appeal to you so you can increase your chances of being selected. 
    •  

    What should I expect?

    • You should have a current resume ready so you can provide it to the admin if asked.
    • You may be asked to interview or speak with an admin at the school prior to being selected.
    • You will be expected to be available every day upon request. Most admins will not want someone who can only work some of the days listed.

    Note: If an unexpected absence comes up during the request, however, be sure to notify the school as well as Swing Support support@swingeducation.com as soon as possible.

     

    A school might contact you for an interview or to discuss your interest in the request.  This is a great time for you to learn more about the school, the students, and the role you’ll be filling in for. Ask clarifying questions, including expectations and extra responsibilities the position may entail, such as prep time. These steps are also completely optional. If you do not wish to take them, you may accept a different request.

    The change needs to officially be on the Swing platform.

    This is very important. If you accept a request that isn't in our system, we might have trouble paying you! Please expect delays in your payment.

    Pay Rates

    Requests less than 4 hours are paid at the half-day rate, while requests over 4 hours are paid at the full-day rate.

    The school made some big changes to the request!

     

    Our schools can make any changes to the request anytime up until 24 hours of the start time without penalty. 

    You are not obligated to accept any changes.

    You have the option to respectfully decline the changes requested by the school and find a new request.

    If the changes are within 24 hours, you can politely decline and wait for the admin to cancel, or they will have you work the original agreed upon request. 

    If you decline the changes and the request has not been canceled on the platform, then please reach out to support so that they can assist you.

She has extensive experience managing classrooms as a teacher and excels at coaching others on managing classrooms of all grade levels. Keilah is currently the liaison between the Swing substitute teacher community and Swing’s partner schools, and she is also fully bilingual (English/Spanish).

    Kenn Adams is the Artistic Director of Synergy Theater and the author of the book How to Improvise a Full-Length Play; The Art of Spontaneous Theater. He is the creator of the classic short form improv games Sit, Stand and Kneel and The Family Dinner (a.k.a. Ding/Buzz or Biography) as well as The Story Spine, a simple exercise for understanding story structure that has been embraced by improvisers, writers and teachers the world over. Kenn began his career in New York City with Freestyle Repertory Theater, the New York Home for TheatreSports, and has been performing, directing, and teaching improvisation for almost 30 years.
