How do I accumulate Sick Time?

  • Swing Subs will begin accumulating sick time at the rate of 1 hour for every 30 hours worked.

  • Accrued paid sick leave carries over from year to year, up to a maximum accrual of 6 days, or 48 hours.

  • Once the maximum accrued hours have been reached, paid sick leave will stop accruing until some paid sick leave is used.

How do I add my accrued Sick Time to my timesheet?

To use your sick hours, you can add these to your timesheet at any time by selecting "sick" from the pay code column, and entering the total number of hours you want to use by entering them as whole numbers in the “Amount” section.

You can find a step-by-step guide with images and instructions here: How to enter sick time (UKG Pro) step-by-step guide

Please note: Requests issued in UKG will not generate sick pay. All sick hours will need to be added to your timesheet.

When can I use my Sick Time?

Swing Subs can use sick time beginning on your 90th day as a W2 Swing Sub. They can be used at any time. The accumulated sick time must be used in minimum increments of 1 hour.

Using Sick Time in UKG Pro

To add sick time in your timecard, you will need to update the "Pay Code" Column on the date you would like to use your accrued sick hours.

To update the "Pay Code" column, you need to click into the box, and click on the arrow that appears on the right-hand side. From the dropdown, please select "Sick".

You will then need to update the "Amount" section with the amount of sick hours you would like to use. Please just click into the box and type in the number of hours.

When you are done adding your sick hours, please don't forget to save your work.

**Please do NOT click the "Request time-off" button from your shortcuts on the Home screen. If you click this button, you will receive an error message. Please refer to the steps above for inputting your sick hours.
